ROCHESTER, N.Y.--May 16, 2005-- When Sunoco Inc. moves its Philadelphia headquarters to a nearby building this summer, it won't be bringing along 5 million paper documents the company has packed into seemingly endless rows of file cabinets. In an effort to dramatically improve productivity and records management and cut down on new real estate costs at the same time, Sunoco is working with Xerox Corporation to convert into digital format a range of paper documents, from legal papers and real estate blueprints to human resource records and accounts payable invoices. "Getting control of the mounting document situation and implementing a strategy that allowed us to have better and quicker access to those documents became obvious with our planned move," said Greg Wood, manager of office services at Sunoco. "With the imaging and indexing provided by Xerox Global Services, we'll increase productivity and lower costs at the same time." Sunoco will send bulk shipments of documents to the Xerox Imaging Services Center in Hot Springs, Ark., where technicians will receive, unpack, prepare and scan about 35,000 documents a day into TIFF or PDF files. Once scanned, the images will be indexed so workers can search for information within them, and then both images and index files will be stored onto a secure FTP site for Web retrieval and burned onto DVDs for shipment back to Sunoco. "The Sunoco solution is a great example of how Xerox's imaging services can help a company tackle several challenges at once," said Tom Dolan, president, Xerox Global Services. "From improving efficiencies to minimizing basic square-footage costs, migrating mountains of paper documents to digital can directly impact a company's bottom line." Also as part of the contract, which runs into 2006, the original hard copies will be securely stored at the Xerox Imaging Services Center. In addition to the scanning and indexing solution at Sunoco, the company's chemical operations recently extended its consulting contract with Xerox for the next phase of its document-management strategy. As a result, Xerox Global Services consultants will broaden the digital solution that manages Sunoco's manufacturing control documents with Microsoft Corp.'s SharePoint portal software. Xerox designed and implemented this electronic repository last year so Sunoco Chemicals workers can quickly obtain the most recent operation guidelines and safety information for production activity. This work will run through the end of this year.
