Inova Management Company Selects the Canon/eCopy Solution to Manage Document Flow

Press release from the issuing company

Nashua, N.H. and Lake Success, NY, May 1, 2003— Inova Management Company, a leading financial and staffing organization, today announced it has selected the Canon/eCopy solution to improve document distribution with its parent company, the Sher Institute for Reproductive Medicine (SIRM) to maintain Health Insurance Portability and Accountability Act (HIPAA) requirements. The eCopy Suite, coupled with the high speed scanning capabilities of Canon’s digital copiers, accelerates document distribution and increases the security and availability of retrieving information by transforming paper documents into digital information. Canon U.S.A., Inc., a subsidiary of Canon Inc. and a leader in networked digital imaging solutions, recently expanded its long-term relationship with eCopy, Inc. through a $15.8 million minority equity investment. Inova needed a way to quickly and securely share various confidential financial and staffing documents with the SIRM, and reduce the rising costs of overnight delivery and telephone fax charges. Using the eCopy Suite, Inova now provides open access to high-speed scanning that connects to the company’s e-mail and other networked enterprise applications. This allows for low cost and instantaneous distribution and management of electronic copies of paper documents. This is critical since Inova transfers mounds of paperwork between eight different office locations managed by the SIRM. “We chose the Canon/eCopy solution because it is the most user-friendly technology available in the market to solve document flow problems on a daily basis and, at the same time, reduce overnight delivery costs,” said Jun Buenaventura, controller, Inova Management Company. “It’s been less than a year since we implemented the Canon/eCopy solution and we have already seen a major reduction in our telephone bills and overnight courier expenses. “We are saving $1,000 a month in our overnight letter and telephone expenses in addition to seeing an increase in our speed and productivity.” The eCopy ScanStation with the Canon imageRUNNER 2200 digital copier easily transforms paper documents into electronic files and streamlines the entire document flow. The eCopy ScanStation offers security capabilities in six key areas that contribute towards HIPAA compliance: • Device security to prevent unauthorized access to the ScanStation • Restricted access to the network from the ScanStation • Major scanning functions with user authorized by password • Inbox security to prevent unauthorized access to scanned image files • 128-bit document encryption to ensure the privacy of protected health information sent over the Internet • Activity logging to record customizable data fields for complete audit tracks The Health Insurance Portability and Accountability Act (HIPAA) outlines stringent policies about the privacy and confidentiality of all patient medical information that is shared, stored and retrieved. Covered entities, such as healthcare providers and insurance organizations, are required to implement appropriate administrative, technical and physical safeguards to protect the privacy of patient health information, whether in electronic form or not. Also, “covered entities” must ensure that information is readily available to those with a legitimate need to see it. “eCopy is seeing a growing trend with healthcare organizations looking for new ways to improve document flow processes, meet HIPAA compliance requirements and reduce operational costs,” said Edward Schmid, chief executive officer, eCopy. “Progressive healthcare organizations like Inova recognize that the eCopy Suite provides both incredible ease-of-use and document distribution security allowing companies to better adapt to strict HIPAA patient privacy and security requirements.”
